Summary
The postholder would be the first point of contact for our company, coordinating front-desk activities, including welcoming visitors, distributing correspondence and redirecting phone calls. Our Receptionist’s duties include offering administrative support across the organisation including regular ad hoc work for the Directors, Operations, Finance, SHEQ and the weld shop, and maintaining a positive front of house experience for guests and staff using our facilities.
Responsibilities
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answering screening and forwarding incoming phone calls.
- Receiving and sorting daily mail
- have a pleasant personality, and the ability to deal with emergencies in a calm, timely and effective manner, while streamlining office operations.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, logging and updating delivery and departure booking forms, updating spreadsheets with relevant information.
Essential
- GCSE or equivalent in Maths and English at Grade C or above
- Organisational and time management skills
- Effective communication skills
- Demonstrable ability to undertake administrative tasks effectively
- Customer service experience
Desired
- Experience working within a busy reception area
- Typing, keyboard or other relevant qualification
